Job Summary: 

Assists in receiving and processing a variety of legal documents related to various probate matters,
receives and processes various fees, payments and legal documents, sets up case files, provides
information to court patrons and schedules various court proceedings. Serves as court recorder when
necessary.

Starting Wage: $26.41 per hour, full-time with excellent benefits

Responsibilities and Duties: 

  1. Opens, date stamps, sorts, reviews and distributes incoming mail. Prepares outgoing mail.
  2. Sets up probate mental, guardianship, conservatorship, estate and other probate case files, files petitions and legal documents and enters case information into the computer.
  3. Schedules court hearings and issues notices of scheduled hearings to proper parties.
  4. Receives and receipts and filing, inventory and other fees. Enters payments into the computer.
  5. Audits inventories and accountings for accuracy, completeness and compliance with applicable statutes and court rules. Notifies par-ties of errors and procedures for making corrections.
  6. Files wills for safekeeping and move wills of the deceased to case files.
  7. Prepares and mails fiduciary report reminders; Maintains records of fiduciary notifications and billings
  8. Screens telephone calls and people at the service counter. Provides information to attorneys, litigants and the general public regarding the proper filing of petitions, procedural requirements, hearing schedules, policies and related matters.
  9. Operates a computer terminal to enter, access, update and correct case and financial information.
  10. Performs clerical functions such as assisting the public with searches for legal documents, making certified copies and compiling information for reports.
  11. Assists with the maintenance of financial ledgers and in preparing and submitting financial transmittals to the County Treasurer.
  12. Assists in the establishment and maintenance of sound financial controls.
  13. Assists with the processing of billings and invoices for court appointed attorneys, public guardians, conservators, office supplies and other billings. Verifies billings and invoices and assists in preparing payment vouchers.
  14. Assists jury board in the jury selection process. Prepares and sends notification letters and questionnaires, receives and files questionnaires, documents juror information, issues summons, prepares juror payroll vouchers, checks jurors in and out and provides general assistance to jurors.
  15. Assists with typing orders, opinions and correspondence, scheduling meetings, screening telephone calls and visitors, processing judicial disqualifications and submitting requests for visiting judges.
  16. Utilizes electronic or video recording equipment to record court proceedings. Activities include:   
    • Preparing a log of activity during recording, including identification of speakers, notations of actions, and introduction of exhibits.
    • Requesting speakers to clarify inaudible statements or spell technical or unfamiliar terminology as necessary for proper recording of proceedings 
    • Developing a running glossary of unusual or scientific terms or names, and taking custody of exhibits as necessary.
    • Assists in other areas of the court as required and assists clerical support staff during the absence of the Probate Register.

Required Education and Experience: 

  • High School Diploma or equivalent (G.E.D.) 
  • One to two years of clerical experience, preferably in a probate court or closely related
    setting that would provide a working knowledge of the probate court and probate court
    procedures.
  • Certification as a Certified Electronic Operator (CEO) by the Michigan Supreme Court.
