Job Summary

Performs a variety of clerical support roles, including but not limited to document preparation, data entry, scheduling, reception coverage, and customer service inquiries for Administrative Services. Administrative Assistants work as a team with other positions to maintain training and skills, meeting the needs within and across various service areas as necessary.
Employees in this classification are assigned primarily to a specific service area (such as Administrative Services, Senior & Veterans Services, Transportation, Central Dispatch, Parks, Recreation & Tourism). Still, they are cross-trained to back up and provide coverage for other service areas when operational needs arise.

Starting Wage: $22.12 per hour, full time

Responsibilities and Duties

  • Provides professional, courteous customer service in person, by phone, and electronically; responds to inquiries, complaints, or directs individuals to appropriate staff or departments.
  • Covers front reception areas, assists walk-in customers, and manages telephone communications.
  • Prepares, compiles, reviews, processes, and edits a variety of documents, correspondence, reports, forms, invoices, and payments.
  • Handles accounts payable, accounts receivable, and payroll processes; verifies accuracy of data, coding, documentation, and matches invoices to purchase orders.
  • Maintains accurate and organized filing systems (electronic and paper) in compliance with retention policies.
  • Supports reporting and record-keeping functions, including data entry, tracking, compiling operational or financial information, and generating reports.
  • Assists with internal and external communications, public relations content, and website updates.
  • Coordinates departmental calendars, meetings, events, agendas, notes, and minutes for Boards, Committees, and other meetings.
  • Performs office operations, including ordering supplies, processing work orders, receiving shipments, and general office coordination.
  • Provides cross-departmental administrative support, backup coverage, and performs other duties or special projects as assigned.

Required Education and Experience:

  1. Valid Driver's License
  2. High School Diploma or equivalent (G.E.D)
  3. One (1) to three (3) years of administrative, clerical, customer service, or office management experience
  4. Proficiency in Microsoft Office software and standard office equipment

Preferred Education and Experience:
  1. Intermediate coursework or training in accounting or business administration.
  2. Experience in a government or public sector environment.
